Privacy Policy

Vocabyx Privacy Policy

Effective date: June 19, 2026

This Privacy Policy explains how Vocabyx ("the App," "we," "us," or "our") collects, uses, stores, and protects your information when you use the Vocabyx mobile application and related services.

1. Who We Are

Vocabyx is an independent language-learning product, developed and operated from Ukraine.

2. Information We Collect

2.1 Account Data

  • Email address
  • Password, stored in encrypted or hashed form. We never store or have access to your plain-text password.
  • Username, chosen by you, subject to format requirements and uniqueness checks.
  • Profile photo or avatar, if you choose to upload one. You may select an existing photo from your device or take a new one using your camera, with your permission.

2.2 User-Generated Content

Vocabyx lets you create vocabulary decks ("dictionaries") of words, translations, and related study material.

Decks you create may be kept private and visible only to you, or shared to the App's public catalog, where other users can discover and add them for their own study.

At this time, publicly shared decks do not display the creator's username or identity to other users. If we introduce this in the future, this Policy will be updated and, where required by law, your consent will be requested.

Please avoid including sensitive personal information in deck content or your username, in case this visibility changes in the future.

2.3 Device and Diagnostics Data

  • Device model, operating system, and version
  • Crash reports and technical logs, via Sentry
  • App version and performance diagnostics

2.4 Usage Analytics

We use Amplitude to collect events that help us understand product performance, feature usage, and study activity, such as onboarding completion, dictionary creation, and learning session activity.

2.5 Support Communications

Anything you send us directly through the in-app support form, including your message and any attachments you choose to add, such as screenshots or short video clips, up to 20 MB total.

2.6 Information from Third-Party Services

If we integrate sign-in or other services from third parties, such as Apple or Google, those providers may share certain account information with us, including your name and email address, subject to your settings with that provider and their own privacy policies.

2.7 Locally Stored Learning Data

Your study progress, such as which words you have learned, review history, and streaks, is currently stored only locally on your device and is not transmitted to or stored on our servers. This means:

  • We do not have access to this data and cannot retrieve, back up, or restore it on your behalf.
  • If you delete the App or switch devices, this data will be lost and cannot be recovered.
  • This data is not included in any data export or deletion request, as it never reaches our servers in the first place.

We may in the future introduce cloud-based syncing of study progress across devices. If we do, this Policy will be updated to describe how that data is collected, stored, and protected.

3. How We Use Information

We process information to:

  • Provide core app functionality and save your decks and account data.
  • Operate the public deck catalog and enable discovery of shared content.
  • Maintain account security and prevent misuse.
  • Investigate crashes and technical issues.
  • Measure product quality and improve features.
  • Respond to support, legal, and data-rights requests.
  • Communicate important changes to the App or this Policy.

If we introduce paid subscriptions or in-app purchases in the future, we will use limited additional information, such as purchase and transaction status provided by Apple's App Store or Google Play, solely to manage your purchase and entitlements. We do not and will not have access to your full payment card details; these are handled entirely by Apple or Google.

4. Legal Bases (Where Applicable)

If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with similar requirements, we rely on the following legal bases under the GDPR or equivalent law:

  • Performance of a contract, to provide the App's core functionality to you as a registered user
  • Legitimate interests, to maintain and improve the App, ensure security, and prevent misuse
  • Consent, where required, such as for optional features
  • Legal obligation, where processing is necessary to comply with the law

5. Data Sharing

We do not sell personal information. We may share data with:

  • Trusted service providers that support hosting and authentication.
  • Sentry, for crash reporting and error diagnostics.
  • Amplitude, for product usage analytics.
  • Apple Inc. and/or Google LLC, to the extent necessary for app distribution, sign-in, or, if applicable, purchases.
  • The public, in the limited case of deck content you have explicitly chosen to share via the public catalog.
  • Authorities, if required by law, regulation, legal process, or governmental request.
  • A successor entity, in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.

Each of these providers processes data under their own privacy and security terms, and we only share what is necessary for them to perform their function.

6. Data Retention

We keep personal data only as long as needed for the purposes described in this Policy, unless a longer retention period is required by law or necessary to resolve disputes, enforce agreements, or prevent abuse.

If you delete your account, we will delete or anonymize your personal information within a reasonable period.

Public decks you have shared may remain accessible if other users have already added them to their own study lists, but will no longer be attributed to or associated with your account after deletion.

7. Your Rights

Depending on your location, you may have the right to:

  • Access, request a copy of the personal data we hold about you.
  • Correction, request that we correct inaccurate or incomplete data.
  • Deletion, request that we delete your account and associated personal data.
  • Portability, request your data in a structured, commonly used format.
  • Object or restrict, object to or request restriction of certain processing.
  • Withdraw consent, where processing is based on consent, at any time.

You can exercise most of these rights directly within the App, such as editing your profile or deleting your account in Settings. For any other request, contact us at vocabyx.support@gmail.com.

Please note that locally stored learning data described in Section 2.7 is not held on our servers, so a deletion or access request to us will not affect this data. You can clear it yourself by uninstalling the App or clearing its local storage on your device.

If you are an EEA/UK resident, you also have the right to lodge a complaint with your local data protection supervisory authority.

8. Device Permissions

If you choose to set a profile photo, the App may request access to your device's camera or photo library. This access is used solely to let you select or take a picture for your avatar, and is only requested when you initiate this action. We do not access your camera or photo library at any other time.

9. Security

We apply reasonable administrative, technical, and organizational safeguards to protect information, including encrypted password storage and secure data transmission, such as HTTPS/TLS.

However, no system can be guaranteed as completely secure.

10. Children's Privacy

Vocabyx is not intended for children under 13, or the minimum age required by your country's law, without parental or guardian authorization.

We do not knowingly collect personal information from children under this age. If you believe a child has provided us with personal information, please contact us so we can promptly delete it.

11. International Data Transfers

Your data may be processed in countries other than your own, including countries with different data protection laws. Where applicable, we use safeguards designed to protect personal information in cross-border transfers.

12. Third-Party Links and Services

The App may contain links to third-party websites or services. We are not responsible for the privacy practices of these third parties, and we encourage you to review their respective privacy policies.

13. Policy Updates

We may update this Privacy Policy from time to time to reflect changes in our practices, the App's functionality, including the potential introduction of subscriptions or new features, or for legal reasons.

Material changes will be reflected by updating the effective date above and, where required, by providing additional notice. Continued use of the App after such changes constitutes acceptance of the revised Policy.
